Current hospitality demo
This website currently offers a fictional hospitality-assistant preview. The visitor's question is answered locally in the browser with scripted examples. The separately deployed server-side OpenAI integration is switched off and does not currently process those questions.
If separately activated later, typed questions would be transmitted to the ROCAO SIA server endpoint and then to OpenAI's API to generate illustrative answers. The integration requests store: false, but the provider's applicable processing and retention policies may still apply. A separate quota database would store the monthly allocated usage and short-lived hashed visitor network information for abuse prevention. The demonstration does not connect to real hotel inventory, guest records, room rates, payments or reservation systems. Never enter passwords, identity documents, payment cards, actual guest details or confidential business records. All hotel rates, availability and bookings must be verified by hotel staff.
The site's $10 monthly AI reservation budget is an internal safeguard rather than proof of an OpenAI billing cap. Independent limits and legal review are required before commercial activation.
Contact enquiries
The contact page offers an external submission option through FormSubmit, which has been activated and delivery-tested. If you submit, the information is forwarded to our receiving Gmail inbox. You can use the copy-enquiry fallback or email us directly without that service. See the section below for processing details.
Controlled MVP laboratory (fictional data only)
The separate Hospitality Desk MVP Lab is intended only for fictional property policies and fictional stay details. FAQ matching, case preparation, local reviews and test conversation records run in the visitor's browser. Its limited session log is held in browser sessionStorage when available and can be downloaded or cleared by the visitor; it is not a shared hotel guest database. The lab does not automatically notify a hotel, create a reservation or confirm availability. Opening an email draft does not send it.
An optional test-handoff button, behind an explicit fictional-data confirmation, sends a test summary through FormSubmit to ROCAO SIA's own receiving mailbox. FormSubmit may require CAPTCHA and processes information according to its applicable policies. Never use the lab with real guest information, staff credentials, financial records or actual hotel operating data. Production processing requires hotel authorization, signed terms and a legally reviewed privacy notice.
Cookies and analytics
The supplied standalone website files do not set tracking cookies or load analytics services. Any future hosting provider or third-party software may have additional data-processing implications that must be assessed before launch.
Responsible deployment
When the company becomes operational, client-specific data processing, applicable lawful bases, security measures, international transfers, retention, deletion rights and complaint channels must be explained in an updated privacy notice and commercial agreements.

When you choose to submit a business enquiry, the information you enter (name, business email, company if provided, industry and project description) is sent to FormSubmit, an external form-delivery provider, which forwards the enquiry to our designated Gmail inbox. FormSubmit states it retains submission archives for 30 days. We use the message to answer your enquiry and assess whether a business discussion is appropriate; we do not ask for financial passwords, identification scans, payment-card details or sensitive guest records.
FormSubmit may apply reCAPTCHA or other abuse protection. Please review FormSubmit's service information before sending information. Submitting the form is voluntary; alternatively, you can use email directly. The submission service has been activated and mail delivery has been tested.
